Two hundred and three

An invitation that fills a room in Shanghai gets ignored in Milan, and not because Italian editors are difficult. Timing, subject line, attachments, follow-up and the door all work differently. With a worked before and after.

Between 22 and 28 September, Milan holds 203 fashion appointments. Sixty-one shows, eighty-eight presentations, fifty-four events, in seven days, in one city. That is nineteen per cent more than last September, and forty more than the February edition managed.

An editor covering that week is not deciding whether to attend your show. She is deciding which twelve of two hundred and three to attend, most of them before your email arrives.

This is the actual competitive environment for a press invitation in Milan, and it explains most of what follows.

Four weeks, not three days

The Milan schedule is largely allocated a month out. CNMI publishes the official calendar in early September, and by the time it is public the diaries of the people you want are already thick.

Send the save-the-date four weeks ahead. Send the invitation with address and time two to three weeks ahead. An invitation arriving inside seven days is not competing for a decision, it is asking someone to break a commitment already made, and the answer will be silence rather than a refusal. Silence is worse, because you cannot plan around it.

The subject line is a diary entry

Italian editors decide in the preview pane. What they need is brand, format, date. Nothing else fits.

Not: An unforgettable journey into the world of oriental craftsmanship.

Instead: QIFEI SS27, runway show, Friday 25 September, 17:00, Milan.

The first describes a feeling. The second is something a person can put in a calendar, which is the only decision being made at that moment.

The fifth question

The body needs to answer who, what, when and where before the fold. Chinese brand teams do all four well.

The fifth is why this person, and it is the one that gets replies. A single sentence naming a piece that editor wrote, and roughly when, takes ten seconds to write and moves response rates more than any design decision in the invitation.

It also has to be true. Italian fashion press is a village. Generic flattery is recognised instantly and remembered longer than you would like.

Everything else, meaning brand history, designer biography and sponsor credits, goes below the fold or behind a link. Not in the first screen.

The attachment nobody received

Three rules, all of them learned the hard way.

Keep the email itself under 2MB. Italian corporate mail servers reject more, often silently, and you will never know.

Do not attach the press kit. Link it.

Do not use a transfer service that expires in seven days. An editor who opens your email the following Monday finds a dead link, and does not write to ask for a new one. Use a permanent folder. Low-resolution images inline, high-resolution behind the link.

The door

More journalists are lost at the entrance than in the inbox.

If someone replied yes, their name is on the door list, spelled the way they spell it, with their publication next to it. A journalist who came across the city and is not found does not send a correction email. She leaves, and she does not come back next season, and nobody ever tells you that this is what happened.

Two follow-ups. One three or four days after the invitation, one the day before with practical details only. A third reads as pressure. A fourth ends the relationship. If two produce nothing, the answer is no, and the professional response is to invite her again in February without mentioning it.
